Uses Pro featuresRun employee onboarding with Learnomy
You run onboarding for new hires who join year-round, not in one big batch. Each role needs a different sequence of training, the sequence should start counting from each person's own hire date, and someone in HR wants to see who is on track without chasing every manager individually.
This is Run a corporate internal training portal with Learnomy with these adjustments. Read that guide first; this page covers what onboarding does differently and links back into its walkthrough for the rest.
What's different for onboarding
Keep the whole portal private. Run a corporate internal training portal, Phase 1, weighs the site-wide Private site toggle against per-course invite-only pricing. Onboarding is staff training, not public content, so the site-wide toggle is the right call here too: one switch, and no course can be accidentally left reachable to a logged-out visitor.
A learning path per role. Pro Tools > Learning Paths chains several courses into one ordered sequence a new hire enrolls in once. Set each path's ordering mode when you create it:
Your options here:
- Sequential -- a step is locked until every required step before it is complete. Pick this for onboarding: a security and compliance module should finish before a role-specific module unlocks, so the required order actually holds.
- Flexible -- every step is open from day one, in any order. Pick this only for a path with no real prerequisite between its steps, which most onboarding sequences do not have.
Build one sequential path per role ("Engineering Onboarding," "Sales Onboarding"), starting every path with the same shared compliance step. Finishing the last required step issues a path-level certificate automatically. See Learning Paths.
Drip from the hire date, not a shared calendar. Content Drip supports three rule types: Days after enrollment, Fixed date, and After completing lesson. Onboarding wants Days after enrollment on the path's later steps -- a "Week 2" module unlocks 7 days after each hire's own enrollment date, so someone hired in March and someone hired in June each get their own correctly paced week 2. This is the opposite of the cohort-dates model the coaching-program guide covers, where everyone unlocks the same content on the same calendar day; that model is wrong here, since new hires do not all start on the same day.
Assigning by role, not the whole company. Run a corporate internal training portal, Phase 2, covers space-wide versus group-exclusive course assignment. Onboarding almost always wants group-exclusive: put each role in its own Space group (Engineering, Sales, Support) and assign that role's learning path to its group only, the same way the parent guide scopes department training. Reserve space-wide assignment for the one or two courses every new hire needs regardless of role, such as the compliance module.
Milestone tracking, automatically. Once User Journeys (Pro) is active, Learnomy tracks each new hire's progress with no configuration: a skill score per course category, a list of achievements (first enrollment, first course completion, first certificate), and a chronological activity timeline. HR reviews any hire's journey at Learnomy > Pro Tools > User Journeys; the new hire sees their own under the My Journey tab on their account dashboard. There is no manual milestone assignment in this release -- everything shown here is derived from real enrollment, completion, quiz, and certificate activity. See User Journeys.
